📢 AI Notetaker is currently in beta and being rolled out gradually to customers.

AI Notetaker is Spark Hire’s AI‑powered assistant that helps you stay present in the interview and still leave with strong notes.

Think of AI Notetaker as a helpful coworker in every interview: it captures the interview conversation, organizes the key signals for the role, and hands you a structured interview summary, and then suggests draft evaluation content that you can review, edit, and choose to include in your evaluations.

AI Notetaker helps you:

  • Focus on the conversation while handing off note-taking to AI
  • Reduce manual work on notes and evaluations
  • Start evaluations faster with suggested Pros, Concerns, Further review items, and scorecard ratings
  • Work across multiple meeting links and languages

Prerequisites & limitations

  • AI Notetaker must be active both at the company and the position level
  • Some meeting providers, authentication settings, or company-specific meeting configurations may prevent AI Notetaker from joining
  • Background noise, crosstalk, or poor connections can reduce accuracy
  • The transcript is internal only and is not available to view or download

How it works

  1. AI Notetaker joins interviews to capture audio and video and create an internal transcript.
  2. After the interview, AI Notetaker creates a concise, structured summary from the transcript focused on role‑relevant topics.
    • The summary groups information into topics such as relevant experience, skills and tools, problem solving, communication, work style, motivation, culture and values, and candidate questions.
    • Guardrails remove inappropriate or biased content and avoid non‑equitable terms.
    • The transcript is not available to teammates.
  3. AI Notetaker then suggests draft evaluation content based on the interview summary, position requirements, internal requirements, and brief to team
    • Suggested evaluations are only available for interview-type evaluations when AI Notetaker is enabled.
    • AI suggestions are clearly marked. They never replace your own feedback or overwrite content you already wrote. You can choose to insert all or some suggestions, ignore them, or edit the content before submitting.
  4. You can see the AI-generated summary in three places in Recruit:
    1. On the interview page, next to the candidate’s evaluation.
    2. Under the Evaluation tab, in the candidate profile.
    3. In the candidate’s activity log.

Customers should also provide candidates with notice at data collection that explains their practices, for example, as required under NYC Law 144.

Some jurisdictions may require you to notify candidates before recording, transcribing, or AI-assisted processing. If a notice is required, you can add it to your Interview invite: Video email templates, so candidates receive it before the interview.

To edit the invite email template:

  1. From the left-side menu, navigate to Library > Auto-templates > Interview invite: Video.
  2. Add your notice to the email body. For example:

    This interview will be recorded and transcribed using an AI Notetaker for interview documentation and hiring evaluation purposes. By joining the interview, you acknowledge and consent to this recording, transcription, and related processing. If you prefer not to be recorded, please reply to this email or inform your interviewer at the start of the call and we will not use the AI Notetaker without any impact to your candidacy. For more information about how the tool works, the types of information processed, and retention periods, please see our Privacy Notice.”

    Make sure to include the link to your company’s privacy notice.

  3. Save your changes.

Enable AI Notetaker

Admins can enable AI Notetaker at the account level, and then teams can opt out of the AI interview summary for specific positions.

At the company level

👤Role: Owner Admin 

  1. Open your Apps page from the left side navigation.
  2. Search for AI Notetaker by Spark Hire, select the tile.

  3. Select Activate.

⚠️ Important: Once AI Notetaker is activated, it will automatically join every interview unless it’s disabled in the position settings.

At the position level

When the AI Notetaker is enabled at the company level it is enabled by default for all positions. If you wish, you can disable the AI Notetaker for specific positions.

👤Role: Teammates with permissions to edit positions ⚙️

  1. Navigate to the relevant position and select the Settings tab.
  2. Scroll down to AI Notetaker and select to disable or enable the AI Notetaker for this position.

FAQ

What happens if no one joins the meeting?

When AI Notetaker joins a meeting, it waits for participants to arrive. If no one joins within five minutes, AI Notetaker automatically disconnects. This helps avoid using interview time for meetings that do not start.

If someone joins before the five-minute window ends, AI Notetaker stays in the meeting and continues normally.
