Position openings

If you are hiring multiple people for the same position, Recruit makes it easy to plan and manage the process. The Openings tab allows you to define the number of hires needed and collect the necessary approvals from the appropriate stakeholders in your organization.

Create a new opening

  1. In the position’s Openings tab, click Add opening.

  2. Choose the opening name, which will help you identify the opening. For example, Jeremy’s Team, Midtown Office, or SDR–Berlin.

  3. Choose the open date (you can select a future date for effective planning).

  4. Choose the expected hire date. This allows you to establish goals and monitor and measure your success in achieving them.

  5. Choose the Reason the Opening was created, such as New hire/Replacement hire/Temporary replacement.

Edit openings

  1. Hover over the opening you’d like to edit.

  2. Click the three dots on the right and select ✏️ Edit.

  3. Edit the details that you’d like to modify and choose whether the changes made require the opening to be resubmitted for approval.

    • If a new approval is not required, select New approval not required.

    • If a new approval is required, select Resubmit for Approval.

  4. Click Save.

Move an opening to another position

If an opening is created under the wrong position or business needs shift, you don’t need to delete and recreate it. Instead, you can quickly move it to another position, keeping all related details intact.

  • Only open and pending approval openings can be moved to another position.

  • The opening is removed from the original position and moved to the new one.

  • Activity logs will be added in both the current and target positions to track the reassigning of the opening.

To move an opening from a position to another:

  1. Hover over the opening you’d like to edit.

  2. Click the three dots in the right and select 🔁 Move to another position.

  3. Select the new position and confirm.

Close openings

Plans and budgets can change. If you want to cancel a planned hire, you can close an opening to keep your reports consistent and log the event.

  1. Click on the opening you’d like to edit.

  2. Click Close in the bottom left-hand corner.

  3. Confirm you’d like to close the position by clicking Close (unfilled).

⚠️ Important: An opening that was closed cannot be reopened.

Delete openings

  1. Hover over the opening you’d like to delete.

  2. Click the three dots in the right and select Delete.

  3. Confirm that you’d like to delete this opening by clicking Delete.

⚠️ An opening that has been approved cannot be deleted.

Make a hire

When you change a candidate’s status to Hired, a prompt will appear asking you to select which opening the candidate is being hired for.

  1. Select the relevant option.

  2. Click Hire to complete the change.

View openings in reports

Openings data can be reviewed and analyzed in several reports. To access Analytics reports in Recruit, navigate to the Analytics section. Use the filters at the top to refine your openings search.

  • Monitor your open openings in the Open positions & openings dashboard.

  • ​Review your hired openings and their respective KPIs such as Time to hire, in the Hires overview report.

  • Explore the monthly evolution of openings and the number of new openings each month in the Management summary report.
