Offer letters and Openings streamline the process of creating structure and ease when making a hire.

To access Offer letter & new opening settings, from the left-side menu, select Settings > Hiring setup > Offers or Settings > Hiring setup > Openings.

Approval processes can be required or optional

You can select whether an internal approval is required or optional for the following actions:

  • Sending offer to candidate

  • Publishing new positions

  • Creating new openings

Create an approval process

A typical process might require approvals from Finance, HR, IT, and management. Create an approval process that can be used company-wide to approve offer letters and new openings.

📝 Note: Approvers must be users in Recruit, but they don’t need to log into Recruit to approve or reject an opening or offer letter. They can easily do this directly from their email inbox.

To create an approval process:

  1. From the left-side menu, go to Settings > Hiring setup > Offers/Openings.

  2. Scroll down to the Approval processes section and click New process.

  3. Name your approval process (e.g., "US Sales") to distinguish it from others.

  4. Add the first approval step:

    • Assign a specific person by typing their name.

    • Assign a role-based approver (e.g., Hiring Manager). Recruit will automatically assign the right person based on the hiring team setup.

  5. Add additional approval steps as needed. Within each step, you can add one or more approvers.

    • Approvers in the same step can approve at the same time, as they are not dependent on each other.

  6. Decide how many approvals are required to move to the next step. For example, if you need only one of two Finance approvers to approve, select “Require 1 of 2.” The sequence moves forward once one approval is given.

  7. Once all steps are complete, the offer letter or opening is approved.

⚠️ Important: Teammates who have not yet set up their Recruit account or whose status is "Invitation pending" will not receive approval emails if they are part of an approval flow.

Delete an approval process

If at any point you need to delete an approval process, hover your cursor to the right of the approval process and click the X on the right to delete.
