Automated Reference Checks help you collect structured, confidential feedback from a candidate’s former colleagues, managers, or peers. By automating the process with Spark Hire Meet, you can save time, reduce bias, and uncover key details about a candidate’s past performance before making your final hiring decision.

Limitations

You can create and edit Reference surveys only in Meet.

Configure integration

  1. From the left-side menu, go to Apps.
  2. Under Offered by Spark Hire, select the Spark Hire Meet tile, and then Continue to setup.

  3. Copy the API key, navigate to Spark Hire Meet, and sign up with your Admin account.
  4. Paste the API key and complete the setup on Spark Hire Meet.

  5. Return to Recruit and click Activate.

Add a Reference Check step to your workflow

👤 Role: All teammates with permission to edit positions

  1. In Recruit, click on a position and navigate to the position’s workflow.
  2. Add a new step or select an existing one, and change the step type to Automated Reference Check.
  3. Select the teammate assigned to the step.
  4. Choose an assessment from the drop-down menu. Surveys displayed here are the Reference surveys created in Meet and available for use in Recruit.
  5. Select the number of days the candidate has to provide their references. By default, the Reference Check step expires after three days; however, you also have the option to select "Never Expires" if you wish to keep it open indefinitely.

    📝Note: After the candidate provides their references, Spark Hire automatically sends the survey to each reference. References must complete the survey within the time limit set in the candidate workflow step.

  6. Choose the number of references you'd like to request.
  7. If you want the assessment to automatically start when a candidate reaches the step, turn on the Auto-start toggle.

Send reference checks to candidates

When a candidate reaches the Reference Check step in Recruit:

  1. Recruit will automatically send the Reference Check to the candidate when they reach the assessment step.
  2. Candidates will receive an email invite to submit the references’ details.

  3. To complete the request, they must provide each reference’s name and email address. They may also include additional information, such as the following reference’s details:
    • Phone number
    • Job title at the time they worked together
    • Relationship to the candidate
    • Company name
  4. After the candidate submits a reference, their contact information will appear on the candidate’s profile.
  5. Once submitted, references are automatically sent the reference survey.

📝 Note: If either the candidate or the reference doesn’t respond, Spark Hire Meet will send them a reminder email, so they don’t miss the deadline. You can view the full step-by-step process here.

Non-submitted assessments

Expired reference checks

Spark Hire Meet assessments will expire according to your settings for the step at midnight PST. When the reference check expires, the step will be completed in Recruit, and the summary of the step will indicate that the step has expired.

“Proceed with candidate?” step will be automatically created and assigned to the person with a role on the hiring team according to your settings, and they will be able to choose whether to go/no-go with the candidate or resend the interview invitation.

View assessment results

When all references are submitted:

  • The step is marked as complete in Recruit. If not all references respond after several days, the recruiter can decide to manually complete the step.
  • Recruiters and hiring managers can view the references’ feedback under the Evaluation tab on the candidate profile.
