Intended purpose

Reviewing resumes can be one of the most time-consuming tasks for recruiters. AI Resume Review simplifies this process by automatically reviewing and evaluating resumes against the specific requirements the HR team set for a position, and ranking candidates by how well they match against them. With this tool, you can:

  • Save time by highlighting qualified applicants, reducing the effort spent reviewing large volumes of resumes, and allowing you to focus on strategic decision-making tasks.

  • Identify top candidates, including those who might be missed in a large applicant pool, ensuring the most qualified talent isn’t overlooked.

  • Reduce bias by evaluating candidates based on objective data like work experience, skills, and educational background.

However, it’s crucial to understand that while AI offers valuable recommendations, it is designed to assist you and does not replace human judgment. The final decision is always up to the hiring team.

The AI focuses on objective data, leaving subjective evaluations to human discretion. Use it to inform your decision-making, rather than as the sole basis for it.

At Spark Hire, we leverage AI to enhance the hiring process and support, not replace, human oversight in decision-making. In designing and implementing AI feature we adhere to the following principles:

  • Fairness and non-discrimination: Spark Hire AI tools are designed to reduce bias by only taking into account objective data such as candidates' work history, skills, and educational background. To ensure fairness, we also conduct regular third-party bias audits, confirming that our AI does not introduce bias from past screening data or human-made decisions.

  • Customer-centric approach: Spark Hire builds tools to empower recruiters and managers, ensuring AI outputs are explainable, transparent, and easy to use, with continuous feedback loops for improvement.

  • Human oversight: Spark Hire AI tools support recruiters and managers by providing insights, but the final hiring decisions are always made by humans.

How does the AI Resume Review work?

The AI Resume Review tool helps you quickly screen candidates by comparing their resumes to the position’s requirements.

1. Add the AI Resume Review step

Add the AI Resume Review step as the first step in your position workflow to replace the manual screening. Once the AI Resume Review step is triggered, either manually or automatically, the AI compares the candidates’ resumes to the position’s requirements. You can choose to automatically advance suitable candidates to the next step or manually review them before moving forward.

2. Let the AI evaluate and rank candidates automatically

When candidates apply for the position, Recruit ’s AI Resume Review evaluates them based on their resumes and how well they match the job's requirements. It reviews the candidates' qualifications, including work experience, educational background, and skills, assigning scores for each requirement and an overall suitability score for the position.

For each requirement, the AI rates the candidate on how well they meet it, assigning it a requirement score: Missing/Not mentioned, Partially met, or Fully met.

  • For example, if one of your requirements is “5+ years of experience,” a candidate with less than that might be rated as “Partially met,” while a candidate with 6 years will receive “Fully met.”

These requirement scores will then be used to reach an overall score that will measure the candidates’ fit for the specific position: Low fit, Partial fit, Good Fit, or Strong fit.

3. Review the AI results

Candidates are ranked by the AI according to their overall score and displayed in the position’s candidate list. The ranking is clear and transparent, providing explanations for how the candidate overall scores are determined.

As a manager or recruiter, you can review the AI evaluation under the Evaluation tab of the candidate’s profile, which displays the candidate's score along with a breakdown of their skills for each requirement. In addition, the Application tab shows the requirements and the corresponding ranking the candidate received. These insights help you understand why candidates were ranked highly and prepare them for the next step, such as an interview or assessment.

Key features

Once enabled, you can integrate the AI Resume Review into your workflow, providing the following key features:

  • AI settings management: Enable or disable AI Resume Review from the Integrations or Applications page, providing flexibility to manage the feature as needed.

  • AI Resume Review step: This screening functionality can be added to your positions’ workflows (generally, at the beginning), replacing the manual screening step. You can choose to trigger the screening manually or automatically when a candidate reaches this stage.

  • AI candidate ranking: Candidates are ranked based on their overall score, making it easy to spot and prioritize top matches.

  • AI evaluation results:

    • Detailed AI evaluations are available in each candidate’s profile under the Evaluation tab, showing how well they match the job requirements.

    • A summarized version of the AI evaluation is shown in the Application tab, giving a high-level view of how candidates align with the position.

  • Activity logs: Recruit tracks AI evaluation activity in the candidates’ Activity logs, ensuring transparency and accountability throughout the hiring process.

  • AI Resume Review in Advanced search: You can use the AI Review results to filter candidates within Recruit's Advanced Search.

Accuracy & limitations

The AI Resume Review tool has been rigorously tested across various industries and job functions, from entry-level roles to senior management positions. While the tool is highly accurate, no ranking system can be 100% precise—just as different people might evaluate the same resume differently. It’s important to consider AI as a guiding tool, with the final decision always up to the hiring team.

Thorough testing

The AI feature was tested on a large set of data across different job types. The tool evaluated thousands of requirements and analyzed hundreds of resumes across 20 positions within 10 job categories, including Administrative, Finance, Marketing, Human Resources, and Supply Chain.

To measure accuracy, the AI’s performance was compared to human testers using metrics such as precision, recall, and F1 scores. The AI assessed how well candidates met each requirement, assigning scores such as Missing/Not mentioned, Partially met, or Fully met. These requirement scores contributed to an overall score that categorized candidates into fit levels such as Low fit, Partial fit, Good fit, or Strong fit. Personal identifying information was removed to ensure assessments were unbiased and based solely on qualifications.

  • The AI achieved an overall accuracy of 91.36%, with a precision rate of 94.93% and a recall rate of 92.10%.

  • The AI and human testers agreed on candidate rankings 92% of the time, demonstrating AI recommendations closely match recruiters’ evaluations.

  • The feature performed exceptionally well in evaluating language skills and hard skills, with accuracies of 96% and 93%, respectively.

Fairness

At Spark Hire, we developed our AI Resume Review tool with fairness in mind, aiming to reduce bias throughout the hiring process. Our AI is designed to evaluate candidates based on objective data points, such as work experience, skills, and educational background. The tool is built to avoid incorporating Personal Identifying Information (PII) into its analysis, helping to minimize potential biases related to race, gender, or other protected characteristics.

To further enhance fairness and maintain our AI features aligned with our goal of a fair, equitable, and non-discriminatory hiring process for all candidates, we conduct regular third-party bias audits.

Limitations

  • AI Resume Review is not meant to assess soft skills or other subjective traits, which should be evaluated through human judgment. It is designed to evaluate clearly defined job requirements based on objective criteria.

  • The tool does not support image-based resumes or resumes in languages other than English.

  • The tool supports resumes between 300 and 20,000 characters (about 4,000 words or 6–8 pages); resumes outside this range might be rejected.

Human oversight

While AI tools enhance the recruitment process by evaluating resumes based on objective criteria, it is crucial that human judgment remains at the forefront of hiring decisions. AI Resume Review is a tool to assist recruiters, not replace them:

  • AI Resume Review provides insights and recommendations, but the final decision on candidate selection always lies with the hiring team. This ensures that factors beyond the AI’s scope, such as cultural fit or soft skills, are considered in the hiring process.

  • Hiring managers can review AI rankings and evaluations for transparency. You can access detailed explanations of how the AI scored candidates based on job requirements, ensuring a clear understanding of the AI’s results.

  • Using data from Spark Hire Recruit’s AI Resume Review, you can verify that the tool provides fair and equitable results. This helps promote a hiring process that reduces bias and continues to meet diversity and inclusion standards.

Transparency and explainability

What is explainability in AI?

Explainability in AI refers to the ability to understand and interpret how AI systems make decisions. It ensures that users can see the reasoning behind AI-generated recommendations and trust the technology’s fairness, accuracy, and relevance.

For recruiters and managers

  1. Recruiters and managers can view the detailed results of the AI Resume Review in the product. The analysis includes all considerations for the ranking, providing transparency about how scores were assigned and why candidates were ranked in a specific order.

  2. We offer information about the AI Resume Review feature, covering various aspects of its functionality, benefits, and best practices in our Help Center. Our documentation is comprehensive, regularly updated, and accessible to all users at any time, ensuring you have the support you need to effectively leverage our AI tools in your recruitment process.

For candidates

  1. We offer candidates a dedicated article in our Help Center explaining how Spark Hire Recruit’s AI Resume Review works. This ensures they understand how their applications are evaluated and promotes transparency in the recruitment process.

  2. Employers are responsible for determining whether they must notify candidates about the use of AI in their recruitment processes. This depends on the applicable laws and regulations in their region.

We focus on developing and maintaining AI tools in line with legal requirements. However, as the employer, it is your responsibility to understand the specific laws and regulations that apply to your organization, including, without limitation, transparency requirements and to obtain consent. We strongly recommend that customers take the necessary steps to ensure their own compliance with applicable employment and data protection laws.

You, as the Spark Hire customer, must comply with any and all applicable laws and regulations (including, without limitation, the NYC Law 144’s requirements before activating and using an AI tools).
