Types of position templates

Creating a position from scratch involves a lot of action items. Recruit simplifies this process by letting you create and manage position templates that you can use as a base for similar positions in the future, including the original hiring team and assignees.

There are two types of templates available:

Basic position templates

By default, Recruit provides a basic position template with a six-step workflow and a default interview evaluation scorecard.

  • The basic template prompts you to add a position name, the reason for the opening, and the hiring team.

  • All other details for positions built on the basic template are completed after creating the position.

Custom position templates

While the basic position template might be convenient for many cases, you might need a position that requires unique workflow steps and scorecards. For these cases, you can create a custom template.

Custom templates, as opposed to the basic templates, can also include position descriptions and other relevant details when creating the position.

Create a position template

To create a template:

  1. Create a position from scratch or navigate to the position you would like to use as a template.

  2. Click on the three dots (…) next to the position status.

  3. Select ➕Add to templates.

Once done, Recruit will indicate that this is a template position. This should be considered when making any changes to the position fields, description, or hiring team, as the changes will be applied to the template as well and affect future positions.

Use a position template

You can access position templates in three different ways.

  1. When creating a new position – On the main page, click the plus sign ➕ at the top left and select Position. In the Start with dropdown, choose the template you’d like to use.

    • The position workflow, scorecard, agency sources, description, requirements, and position fields will be copied from the template to the new position.

    • In addition, you can choose to copy the original hiring team or assign new teammates. Regardless of your choice, you can always modify the hiring team later.

  2. From the shortcut in a template position – Navigate to the position you’d like to use as a template and click Use template.

  3. By duplicating a position – Navigate to a position that is also a template, click on the three dots (…) next to the position status, and select Duplicate position.

Remove a position template

To keep your template list clean and accessible, you might need to remove templates that are no longer in use from time to time. To remove a template from the list:

  1. Navigate to the position you’d like to remove from the template list.

  2. Click on the three dots (…) next to the position status.

  3. Select Remove from templates.

📝 Note: Deleting the position from Recruit will permanently remove the template as well.
