Custom templates make your life easier whenever you have to send the same message multiple times. For example, sending assignments to candidates or asking for references.
Create a custom template
To add a custom template:
- From the left-side menu, select Library > Custom templates.

Click ➕Add at the top right.

Enter a name and choose who can use the template:
- Shared – All teammates can use these templates. Only Owners and the template owner can edit them.
- Restricted – Only Owners and the template owner can edit and use these templates.
- Add the email subject and body. Use attributes in the body to personalize the message.
- Click Save.
Attributes
Attributes are specific pieces of information about a person, an event, or any other entity that is managed in Recruit. Using attributes allows you to customize your email templates for any type of recipient, whether candidates, teammates, sources, or third parties.
To insert an attribute:
Place your cursor where you want to insert the attribute.
Click Insert attribute.

Select an attribute from the list.

Send a copy
By copying (CC or BCC) people on sent emails, you can keep them current on activities and progress. To CC or BCC your teammates, check the box next to the roles you wish to send the email to: candidate’s source, recruiter, and/or coordinator.
⚠️ Important: Once an email is sent, it cannot be canceled. We strongly advise using a delay for every email you send to allow for the option to cancel.
Signature
Personalize your emails by including your signature. Learn how to set up a personal signature here.
📝 Note: The personal signature is added to all messages except messages that are sent from a general email address such as the “Thanks for applying” email message.
Use custom templates
It’s simple to write an email based on a custom template. Click Templates and select a template from the list.
