Candidate Sources allow Recruiters, Hiring Managers, and company executives to identify where their candidates are coming from and the quality of the sources. When adding a source to a candidate, you must first add the source, then set the source type and contact.

Sources page

The Sources page allows source management across the platform: you can see, edit, merge, delete sources, and change source types from the full list of sources. To help you make the right decision with those actions, you can see the total number of candidates who applied and were hired per source and source types (all times).

We recommend managing your sources on this page as part of data cleanup to ensure there are no duplications or to merge and delete irrelevant sources.

Add a new source to Recruit

  1. In your Recruit account, click the ➕ sign and select Source, or navigate to the Sources page, and select Add Source.

  2. A new source card will be created, and you will need to fill in:

    • Source name: Choose a name that helps you identify the source easily.

    • Source type: Categorize sources into types, such as referrals, job boards, social networks, and more.

    • Contacts (relevant for all notified source types): Add a relevant contact name and email associated with the source, e.g., someone who works at the agency.

    • Source domain: Add the domain from your contact email by typing the domain after the @ sign in lowercase (e.g., sparkhire.com).

      • When a candidate applies through your Careers website, Recruit looks for a trackable link (coref token) to assign the source. If there’s no trackable link, Recruit checks which website the candidate came from. If that site matches a domain you added in the Source domain field, Recruit assigns the candidate to that source. For example, if you add sparkhire.com to a source card, any candidate who lands on your Careers website from a sparkhire.com page (without a coref token) will automatically be attributed to that source.

Existing sources

Add an existing source to a position

  1. Navigate to the relevant position > Sources and scroll down to add a source of your choice:

  2. If you cannot find the source you need, check if it was added to the position under the relevant category.

Add an existing source to a candidate

  1. If you're creating a new candidate, under Source, select an option from the dropdown and click Add.

  2. If a candidate was added automatically and you need to edit the source, navigate to the candidate's profile > Edit > Edit candidate.

Edit the commitment period of source types

In Recruit, the commitment period refers to the time frame during which a candidate remains linked to a particular source. This feature allows the configuration of your commitment periods to the the different source types.

To edit the commitment period:

  1. Navigate to the Sources page and click on the ✏️ pencil icon next to the relevant source type. The source type settings page will pop up.

  2. Choose one of the two options:

    1. Expire after … month(s)—you’ll have to specify the number of months.

    2. Doesn’t expire

  3. Click Save.

When you manually resolve duplications in Recruit, you need to select a source for the candidate. Recruit will recommend one based on the commitment period settings, helping to accurately track the different sources and make more informed decisions about recruitment strategies.

Edit source details

You can always revisit and edit the source details in different ways:

  1. Search for a source name in the search field and edit it.

  2. Navigate to position > sources, click the arrow next to the relevant source, and select Edit source.

  3. Navigate to the candidate > ✏️ Edit and edit the source.

  4. Navigate to Sources > Find by name > (…) > Edit.
