How can I track our key hiring metrics?

To track key hiring metrics, use the Hires overview report. This report provides an analysis of successfully concluded hiring processes and evaluates metrics like the total number of hired candidates, average and median time to hire (TTH), apply to hire (ATH), and time to onboard (TTO).

Is it possible to get a funnel for all positions and not just for a single position in the Activity breakdown report?

No, it is not possible to get a funnel for all positions in the Activity breakdown report. A funnel chart, by definition, only includes candidates who are no longer under consideration. To analyze these candidates, use the Past candidates funnel report.

Additionally, since each position usually has its own workflow, we recommend focusing on one position at a time or a group of positions with similar workflows in the Past candidates funnel report.

How can I better understand the efforts invested in a hiring process?

To understand the efforts invested in a hiring process, use the Activity breakdown report. This report tracks the steps completed in a specific period. Use the filters at the top to focus on specific positions or groups of positions with similar workflows. The "Summary by stage & step" table provides details on the number of times each step was completed, pass-through rates, and rejections or withdrawals.

Tip: In the summary table, select "Category" as None and "Sub Category" as Stage to present the data in a bar chart format, allowing you to visually see the pipeline of candidates through each stage.

How can I track our progress in the hiring process?

Use the Candidates in progress report to monitor the progress of positions. The summary table displays the number of candidates pending in each stage, helping the team prioritize the next steps in the process.

How can I measure the task load of each teammate?

Use the Team workload report to see the volume of pending tasks and how they are distributed among the hiring team. This report includes data points such as "Current step," "Days in current step," "Current stage," and more, allowing you to make data-driven decisions on future adjustments.

Why do we have more open positions than openings?

Having more open positions than openings means some positions have multiple openings. Conversely, if there are fewer openings than positions, it could indicate that a position is still open even if its current opening has been filled. Ensure at least one opening remains open if you're still hiring for that position.

Can I track positions or candidates in "On-Hold" status?

Yes, you can track positions and candidates in “On-Hold” status:

  • To track positions set to On-hold, use the Open positions & openings dashboard. The "Expand" button on the "Positions on hold" KPI at the top of the report allows you to drill down into the total number of positions on hold.

  • To track candidates with an On-hold status, use the Candidates in progress report. The "Expand" button on the "Candidates on hold" KPI at the top of the report provides a drill-down into the total number of candidates on hold.

Do candidates whose status is "On-Hold" appear in the Past candidates funnel report?

No, candidates whose status is "On-Hold" will not appear in the Past candidates funnel report. Only candidates who are no longer under consideration, such as those who are "Hired," "Rejected," or "Withdrawn," can be part of a funnel.

How can I identify bottlenecks in the hiring process?

To identify bottlenecks in the hiring process, use the Team engagement report. This report offers aggregated data on completed steps, including "Completed steps," "Time-to-complete," "Time-to-schedule," and "Time-to-evaluate." Segment this data by criteria such as position fields, assigned teammates, step name, step type, and more to pinpoint where bottlenecks occur.

How can I understand which sources work best for each position?

To find out which sources perform best for each position, use the Source quality report. Filter the report by the desired position using the filters at the top, and use the "Customize" button in the "Source performance summary" table to slice the data by criteria such as source name, source type, and more.

How do I know which sources drove the most hires?

To see which sources drove the most hires, use the Hires overview report (the Source Quality report, by contrast, shows data based on application dates). Focus on the "Hiring Summary" table, where you can customize the category to sort hires by their source.

How did the referral program perform compared to other source types?

The Referrals report shows the performance and effectiveness of your company's referral program, including the number and percentage of hires through referrals.

To compare referral sources with other source types, use the Source Quality report. Analyze the "Source performance summary" table, which shows "Source type" by default, and decide whether you’d like to compare sources based on Applications or Qualified candidates, and sort them in a descending order by clicking on the column title.

Tip: You can also display the data in a pie chart, column, or bar chart format for better visualization.

How can I track our offer acceptance rates?

The Offers overview report provides data exclusively on Recruit's featured offer-type steps. You can use this report to track details about offers sent to candidates, including those still pending, and the acceptance rate for concluded hiring processes.

Alternatively, if you are not using Recruit's built-in offer step, refer to the Activity breakdown or Past candidates funnel reports to track the percentage of candidates passing each stage. Ensure a dedicated step is created for offers under the "offer" stage in the "Step Templates" menu.
