Role: Hiring team


Recruit offers seven different position roles, each with specific permissions that define what teammates can view and do at both the position and candidate levels. You can assign these roles from the Team tab within each position.

Role and permission logic

In Recruit, teammates can be assigned multiple roles at both the Company and Position levels. This section explains how permissions work specifically at the position level:

  • Every hiring team member is automatically assigned the Interviewer role. Additional position roles can be assigned as needed.

  • All recruiting roles are optionalβ€”some teammates may only have the Interviewer role.

  • If a teammate is assigned multiple position roles, their permissions are based on the role with the most access.

    • Example: A teammate with both the Interviewer and Recruiter roles will have Recruiter-level permissions.

  • When a teammate's company-level role includes broader permissions than their position-level roles, the company-level permissions apply.

    • Example: A user assigned the Interviewer role at the position level but also has the Owner role at the company level can perform all Owner-level actions.

Roles for working with positions & candidates

At the position level in Recruit, there are two types of roles:

Recruiting roles

  • Recruiter: Has the highest level of access at the position level. Recruiters can publish and post positions, manage candidate workflows, and oversee all recruiting activity.

  • Recruiting coordinator: Has full access to position-level tasks, except for budget settings (salary and referral details).

  • Recruiting assistant: Supports the recruiting process by handling scheduling and communication with candidates. This role helps reduce time-to-hire and keeps the hiring process running smoothly.

Non-recruiting roles

  • Hiring manager: Can edit all candidates for a position, change the position’s status, and take the lead on hiring decisions.

  • Manager: Can view all candidate and position details, including evaluations and interview steps.

  • Interviewer: Automatically assigned to all hiring team members. Interviewers can see relevant candidate info and submit interview feedback, but cannot make changes to the position or workflow.

  • Viewer: Has read-only access to basic information, including the job description, candidate list, and sources. Viewers cannot make edits or interact with candidates.

Customizing permissions

In addition to the default roles offered by Recruit, you can customize some permissions at the position level. To make changes:

  • Go to the Settings tab of the relevant position to adjust permissions for roles assigned to that position only.

  • Go to Settings > Access > Permissions to edit the default permissions for each role across all positions.
