Establishing a synchronized shared office interview calendar is essential for recruiters and management to manage all in-person interviews at the designated location.

This calendar serves as a valuable tool for not only tracking interviews but also for efficiently informing receptionists about upcoming candidate visits. It ensures candidates receive clear details about their interviews, including who they will be meeting, as well as the time and location of their appointments.

Before getting started

Ask your IT representative to create a mailbox with a calendar for each of your offices, for example, ny-interviews@awesomecompany.com.

Set up an office calendar

Recruit recommends creating a dedicated calendar for interviews in the office and sharing it with the receptionist and other stakeholders.

If your company does not have a specific office email address set up yet, follow these instructions:

  1. In Recruit, navigate to Settings > Localization > Locations and click to edit the location. The Edit Location window will open.

  2. Add the new email address in the Calendar email field and click Save.

    • To add multiple email addresses, separate them by commas.

    • You can also choose to notify about all interviews or only in-person interviews.

What is sent to the office calendar?

When an interview is scheduled for a location with a calendar email, Recruit sends the Office: Interview calendar email to the office calendar email address.

This email includes the interview details needed for the office calendar, such as the candidate name, interview time, interviewer, interview method, position coordinator, approximate duration, and meeting room (if any).
