The Library is where you manage reusable hiring content in Recruit. You can use it to find, create, and maintain shared content such as scorecards, interview questions, questionnaires, and templates. 

The Library uses a unified layout so your team can search, filter, and manage content more consistently across sections, and also supports ownership and visibility settings for some item types, which helps keep content accessible when teammates change roles or leave the company.

In the Library, you can:

  • Create and manage reusable hiring content
  • Find items faster with sorting, search, and filters
  • See who created and owns each item
  • Edit, duplicate, or delete items from the actions menu
  • Manage ownership and visibility for supported item types

You can access the Library from the left-hand navigation menu > Library.

Navigating the Library

What you’ll find in the Library

The Library includes the following content types:

Each section opens in a table layout. Depending on the content type, you may see:

  1. A search field
  2. A filter, such as Created by, Owner, or Recipient
  3. Item details, such as name, number of questions or traits, open positions, creator or owner, and last modified date
  4. An actions menu with options to edit, duplicate, or delete an item

Not every Library section shows the same columns or filters. The available details depend on the item type.

Library items ownership & visibility

Some Library items include ownership and visibility settings.

  • Ownership helps keep items accessible and editable over time. By default, the item owner is the teammate who created the item and is responsible for it. Owners and Admins can reassign ownership at any time. For example, if a teammate leaves the company, Owners and Admins can still access these items and assign them to another teammate.
  • Visibility controls who can see, use, and manage an item. Visibility can be either Shared or Restricted.

Ownership and visibility are available for:

  • Scorecards
  • Interview questions
  • Custom templates
  Shared 🏢 Restricted 🔒
Custom templates All teammates can use the template. Only Owners and the template owner can edit it. Only Owners and the template owner can edit and use the template.
Interview questions All teammates can use the question set. Only Owners and the question set owner can edit it. Only Owners and the question set owner can edit and use the question set.
Scorecards All teammates can find and assign this scorecard to a position or interview. Only Owners and Recruiters can find and assign the scorecard to a position or interview.

Reassign a library item owner

To reassign ownership from the Library:

  1. Select the relevant item and click the Owner dropdown.
  2. Select a new teammate from the dropdown and confirm.

  3. Click Save at the top right.

You can also reassign ownership from the Teammates page when reassigning a teammate’s tasks and roles.

  1. From the left-side menu, select Teammates.
  2. Click the three-dot menu next to the teammate from whom you’d like to reassign ownership, and select Reassign tasks & roles.

  3. Select a new teammate from the dropdown and confirm.

Deactivated teammates

When a teammate is deactivated, their library items must be reassigned to another teammate so the items remain accessible. 

If the deactivated teammate is later reactivated, ownership of those library items does not automatically return to them. The teammate selected during reassignment remains the item owner unless an Owner, Admin, or item owner manually reassigns ownership again.
