Plan: All plans
Role: Owner ✧ Admin ✧ Recruiter ✧ Recruiting coordinator
Recruit allows you to consider a candidate for multiple positions simultaneously. When doing so, the candidate will have a separate hiring process for each position they are considered for.
The number of positions a candidate can be considered for depends on your company's policy. Recruit's default is 3 parallel processes, but you can change the number under Settings > Hiring setup > Automation.
Add a candidate to another position
You can add your candidate to a new position in two ways:
-
Navigate to the candidate's profile, click on the three-dot menu next to the candidate status, and select ➕ Start new hiring process.
Alternatively, on the candidate’s profile, go the Positions tab, and click ➕ Start new hiring process.
- In the Add as field, choose whether to add the person as a Candidate or a Lead.
- Select the position to which you would like to add the candidate.
- Select the appropriate Posting location.
- Choose which step in the workflow you would like the new hiring process to start from.
-
Select the source for the new hiring process.
- Preview the new workflow and click Start.
Manage hiring processes
A hiring process begins when the candidate applies for or is added to a position and ends when a decision is made by setting the candidate's status to Hired, Rejected, or Withdrawn.
See all hiring processes
Owner and Admin roles can determine who can see the activity and evaluation of candidates’ past processes in Settings > Access > Permissions > See the activity and evaluation of candidates’ past processes in other positions.
-
The Positions tab on the candidate’s profile provides a single snapshot of the current and past hiring processes.
When a candidate applies for multiple positions simultaneously or Recruit detects a duplicate application from a past candidate, a duplicate application notification will appear in the candidate's profile. For candidates undergoing multiple hiring processes, each position should appear under the Positions tab in their profile. However, if duplicates are not addressed (either manually or automatically), the newest position's hiring process will not be visible under the Positions tab. To ensure all hiring processes are connected to the candidate and visible under the Positions tab, you must first resolve the possible duplicate applications.
-
The Evaluation tab breaks down events by hiring process.
Take action in different processes
The candidate profile shows the most relevant hiring process according to context, such as the position or task through which the candidate was selected.
If you wish to take action on another process, go to the Positions tab and click ↗️Open next to the corresponding process.
Indications about other processes
When working with a candidate in one position, it’s useful to know that the candidate is also being considered for another. Recruit provides the following indications:
Candidate profile – An indication is shown at the top of the candidate's profile when the candidate is considered for another position.
Scheduling an interview – An indication is shown when the candidate has interviews scheduled for another position.
Making a hire – An indication is shown when the candidate is in progress for another position. When the hire is made then the other hiring processes are changed from In-progress to Withdrawn and marked with the disposition reason: Hired for another position.
