Manage multiple candidates

Select multiple candidates

Recruit offers different methods for selecting multiple candidates simultaneously:

  • Individual selection: Click on each candidate's checkbox to add them to the list.

  • Ctrl + click selection: Click on a candidate, hold down the Ctrl key, and then click on any other candidate to add them to the list.

  • Shift + click selection: Select one candidate, hold Shift, then select another candidate in the same group to select all candidates between them.

Once selected, you'll be able to perform the following bulk actions:

Send emails

  1. Click Email.

  2. Select an existing template or edit the body of the email.

If candidates don't have email addresses because their source is Agency or Active search, Recruit will still attempt to send them an email:

  • If the templates are set to Send automatically: Recruit will generate a Send notification step.

  • If the templates are set to Confirm before sending: You'll need to individually cancel emails for candidates without email addresses as they appear.

  • If the templates are set to Create send notification step: You will be able to manage candidates with and without email addresses in bulk. Recruit will only send emails to candidates with email addresses. For candidates without email addresses, you can select the bulk option Don't send.

    • For the Rejected before an interview, if the template is set to Create send notification step for both candidates and sources, Recruit will disable sending the emails in bulk and you’ll need to choose per candidate.

Change multiple candidates’ statuses

  1. Select the three-dot menu and then the ▶️Set status option.

  2. Select a new status option.

Change multiple candidates’ positions

💡 Tip: Visit the Permissions page to modify which roles can change candidate positions.

  1. Select the three-dot menu and then click 🔄️Change position.

  2. Choose the position that candidates will be moved to and the workflow step candidates will be added to.

  3. Click Change position.

⚠️ Important: Candidates cannot be moved if they have scheduled interviews, have pending send notification steps, or have already been hired.

Tag multiple candidates

  1. Select the three-dot menu and then click 🏷️Tag.

  2. Select a tag from the options or create a new one.

Reject multiple candidates

  1. Select the three-dot menu and then the ▶️Set status option.
  2. Click on ⏹️ Rejected and select a Rejection reason and decide who will be notified.
  3. Click Reject.

Delete multiple candidates

  1. Select the three-dot menu and then Delete.
  2. Confirm you want to delete candidates by clicking Delete when prompted.

Complete Administrative and Go/No-go steps

  1. Select Workflow at the top of the list.

  2. For Go/No-go steps: Click Go or No-go.

    • If you select No-go, choose a rejection reason and decide if the candidate should be notified by clicking Don't notify, Create “Send Notification” step, or Send message. If required, decide if the candidate's source should be notified.

  3. For Administrative steps: Click Mark as completed.

Complete "Send notification" steps

Click Don't send - close or Send - message to complete the step.
