Advanced search is like a ground-penetrating radar for your Talent database. You can dive to its deepest depths using keywords, subject tags, and more than 30 pre-set search filters. While Advanced search in Talent can help you in a variety of areas, it’s particularly helpful for sourcing candidates, managing the Hiring team, and analyzing recruiting activities. Here are some examples:

  • Rediscovering a candidate who wasn’t perhaps ideal last year for a position, yet may be exactly what you’re looking for this year.

  • Finding all candidates with upcoming interviews for positions in your New York office.

  • Tracking the interview workload of specific hiring team members.

Advanced search process

Advanced search helps you quickly find candidates, positions, tags, and other records across Recruit. You can start your search directly from the global search bar at the top of the platform.

  1. Enter a keyword, candidate name, position title, tag, or other search term in the search bar at the top of the page. As you type, Recruit displays matching results across the platform, including candidates, positions, sources, and more.

  2. To access advanced filtering options, click Advanced search in Talent at the bottom of the dropdown menu. You’ll be redirected to the Talent page.

  3. In Talent, apply filters to narrow your results. You can:

    • Search using keywords or phrases

    • Filter by candidate status, position, location, tags, languages, workflow stage, and more

    • Combine multiple filters to refine your results further

  4. Click Search to display matching results.

Save your searches

You can bookmark your searches to save time in the future when you want to reuse the same parameters. To bookmark a search, click the 🔖 bookmark icon, name the search, and Save it.

Filters

Personal

  • Keywords – Specific terms or phrases in the candidates’ profiles.

  • Personal Info – Candidate details such as first or last name, city, or country (candidate fields).

  • Resume – Specific terms or phrases in the candidates’ resumes.

Candidate background

Candidate background filters allow you to find candidates based on their experience, education, and competence.

  • Resume – Search candidate resumes that contain/don't contain certain words and phrases.

  • Experience – Find candidates based on their current or past positions, company, or industry.

  • Education – Find candidates based on their education level, institution type, or name.

  • Competence – Find candidates based on the skills or languages listed on their resume.

Hiring process

Hiring Process filters will help executives, recruiters, managers, and hiring team members narrow their search activities as they learn about candidates and recruiting activities past and present. Multiple filters can be combined to further refine search queries:

  • Status – Candidate and position statuses before the position was closed.

  • Dates – Dates relevant to the candidate’s hiring process such as Time Added or the completion date of the last step.

  • Workflow – Steps or activities based on a position or candidate’s workflow.

  • Evaluation – Candidate’s evaluation results and feedback.

  • Source – Candidate’s source name or source type.

  • Position – Position details such as position status or department. Custom position fields will also appear here.

  • Privacy – Data subject to GDPR privacy obligations and data retention end date.

Boolean search

To increase the relevance of search results, you can use Boolean search to combine keywords with operators (such as AND or OR). In Personal > Resume you can use the Boolean Search to find words or phrases that you’re looking for in a candidate’s resume.

In the Resume has the words section:

  • AND includes two or more search terms: For example, English AND product. Both keywords must be included in a candidate’s resume for them to appear in search results.

  • OR broadens your search: For example, English OR product. Only one keyword must be included in a candidate’s resume for them to appear in search results.

📝 Note: In Advanced search, all free-text fields allow you to use quotation marks to increase search result relevance. For example, searching for “QA Engineer” with quotation marks will return candidates that match the search terms exactly while searching for QA Engineer without quotation marks will return candidates that have QA and Engineer in their resume regardless of the order that they appear.

Download search results

You can download your results by clicking the Download icon above your search results and then selecting the info that you’d like to export.

Send bulk emails using Advanced search

Let's say you want to filter out all the candidates who have been rejected in the last six months and send them a specific email or send a newsletter to several candidates in different positions. This is something that you can easily do with the Advanced Search.

  1. Open the Talent page and apply filters as desired.

  2. In the search results, click on the first candidate, then hold down the Shift key on your keyboard, and click on the last candidate. This action will automatically select all candidates between the first and last, including both of them.

  3. Then, select email at the top to send an email to all the selected candidates.

Find candidates based on position details

You can access the Advanced search functionality directly from the position’s page. Recruit uses the position description to automatically apply relevant filters and help you find matching candidates faster.

  1. Navigate to the relevant position, click the three-dot menu in the candidate list, and select AI-powered candidate search.

  2. You’ll be redirected to the Talent page, where Recruit automatically applies filters based on the position description.

  3. From there, you can:

    • Click Search to view matching candidates.
    • Review and edit the applied filters before searching.
    • Add or remove filters to further refine your results.
  4. Recruit will show you the top candidates within the selected position based on your criteria.
