Candidate status

  • In progress—The candidate is going through the hiring process.

  • On hold—The hiring process is paused, but the candidate is still considered for the position.

  • Rejected—The candidate does not match the position requirements and the hiring process is terminated by the company.

  • Withdrawn—The position or its conditions do not match the candidate's expectations and the candidate terminates the hiring process.

  • Hired—The candidate successfully passes all hiring process steps and is hired by the company.

To change a candidate’s status in Recruit, navigate to the candidate profile, click In progress, and select one of the options from the list.

Rejected/Withdrawn

When updating a candidate's status to Rejected or Withdrawn within the candidate profile, you will need to select the last step that was completed in the candidate’s workflow. This step is needed to ensure the candidate’s history is recorded accurately.

  • Go/No Go step—If the candidate has completed a Go/No Go step in the workflow, select the participant who has completed this step.

  • Interview step—If the candidate has completed an Interview step in the workflow, select the participants who have completed this step.

On Hold

When changing a candidate’s status to On hold, the candidate’s workflow will pause. Change the candidate view filter to On hold to view all candidates on this status.

Hired

When a candidate’s status is changed to Hired, you will then need to input the following information to calculate the recruiting metrics correctly:

  • Opening: Determine which opening the new hire is filling.

  • Application date: Change the application date to reflect when the hiring process began with this candidate.

  • First day of work: The new hire’s starting day

Who can change the candidate's status?

As part of the hiring team, that is, at the position level, the following roles can change a candidate's status:

 

Recruiter

Recruiting coordinator

Hiring manager

Manager

Recruiting assistant

Interviewer

Viewer

Change candidates status

No openings available

If you're unable to mark a candidate as Hired and see a message saying "No openings available," chances are the associated job opening isn't marked as Open. To confirm the opening status, in the relevant position, go to the Openings tab, and make sure the status is Open.

If the opening is Pending Approval, it needs to be approved before you can hire a candidate for it.

Candidates with scheduled interviews

If a candidate with future scheduled interviews has their status changed:

  • From In progress to On-hold: The interviews will be canceled, and Recruit will notify all interviewers about the cancellation.

  • From In progress to Rejected: The interviews will be canceled. You will need to inform the candidate of the rejection, select a rejection reason, and optionally, add a note.

  • From In progress to Withdrawn: The interviews will be canceled. You will need to select a reason for withdrawal, and optionally, add a note.
