Role: Admin ✧ Owner
A teammate refers to any member of your organization using Recruit. Admins have full control over managing teammates, including adding or deactivating them at any time, as well as assigning or modifying their roles.

Edit teammate profiles
From the left-side menu, select Teammates. The All teammates page will open.

Click on the three-dot menu next to the teammate you wish to edit and then Edit teammate.
Admins can edit teammate profile information, including name, job title, email, and phone number.
Configure teammate roles
From the left-side menu, select Teammates. The All active teammates page will open.

Click the three-dot menu next to the teammate whose role you wish to edit and select the relevant role. If the teammate has active roles at a position level, you will need to reassign their roles and tasks to another teammate before removing them from the role.

Teammates with started interviews
There are certain limitations when it comes to reassigning tasks and roles for teammates who have started interviews. If a teammate has started interviews, these cannot be reassigned through the Reassign tasks and roles feature. Instead, you will need to reassign them one at a time:
Navigate to the relevant interview step in the position workflow.
Click on it and select a new interviewer from the list. If the original interviewer has entered information in the evaluation screen and is unavailable to submit the evaluation, there is no way to access that information. When you change the interviewer, you will receive a notice that the evaluation draft will be deleted.
Confirm the change and you will be able to reassign the new interviewer for this step.

Deactivate teammates
From the left-side menu, click Teammates. The All active teammates page will open.

Click on the arrow next to the teammate you wish to deactivate and select Deactivate teammate from the dropdown.

If the teammate has active roles at a position level, you will need to reassign their roles and tasks to another teammate before deactivating their profile.
Once you've reassigned the teammate's roles, click Deactivate Account.
Reactivate teammates
Important: Only Owner or Admin roles can reactivate deactivated teammates. If you don't have the permissions, reach out to someone on your team who has an Owner or Admin account.

From the left-side menu, select Teammates. The All active teammates page will open. Click Deactivated from the list on the left.
Click Reactivate next to the teammate or click the arrow next to teammate and select Reactivate user.

SSO activation/deactivation
SSO activation and deactivation can only be done by your IT Administrator. If the account has been deactivated through SSO, please reach out to your IT Administrator to initiate the reactivation via SSO as well.
If a teammate's account has been deactivated via SSO, you will still need to reassign the roles they held in each position.

Inactive teammates
Sometimes, a teammate may become inactive, which means they haven't logged into their Recruit account for at least 90 days. The good news is that reactivating an inactive teammate is a simple process. Before we proceed, let's clarify the difference between inactive and deactivated teammates:
- Inactive teammates: Inactive users have not logged into their Recruit account for at least 90 days, but they have not been deactivated by an admin's action. Reactivating them is a user-initiated process.
- Deactivated teammates: Deactivated users have been intentionally deactivated by an admin. Reactivating them requires admin permissions.
As reactivating an inactive teammate is a user-initiated process, the inactive user simply needs to log in to Recruit with their credentials. Some users create their accounts in Recruit through their personal LinkedIn profiles, so make sure to try this option too. This should reactivate the inactive account immediately.
If the inactive user has attempted to log in using both their credentials and LinkedIn profile without success, they can reset their login credentials.
FAQ
Does a reactivated teammate get their library items back?
No. When a teammate is deactivated, their library items are reassigned to another teammate. If the teammate is later reactivated, those items do not automatically transfer back to them. The reassigned teammate remains the owner unless the items are manually reassigned again.
Why are deactivated teammates still receiving calendar invites?
If a teammate is deactivated through SSO, their access to Recruit is removed by your IT Admin. Their tasks, roles, and interview assignments are not automatically reassigned in Recruit.
This means a deactivated teammate may still be assigned to an interview step, even if they are no longer on the hiring team. If they are assigned to a scheduled interview, they may continue to receive calendar invites.
To stop future invites, an Admin or Owner should deactivate the teammate in Recruit and reassign their tasks and roles.
Can I block a teammate/user?
In Recruit, there's no "blocking" feature for teammates/users. Instead, you can deactivate their account, revoking their complete access to the platform.
