Recruit already lets candidates self-schedule interviews based on interviewer availability. This feature builds on that by automatically sending self-scheduling invites when candidates reach an interview step, so you spend less time on repetitive scheduling tasks and keep your hiring process moving.

Auto-send works best for teams with high-volume or standardized hiring workflows. It is especially useful when:

• You hire continuously for similar roles
• Your interview process is standardized
• You send a high number of scheduling invites each week

Prerequisites

• Ensure your account Admin has configured Auto-scheduling.
• Connect your calendar and configure your scheduling availability.
• Connect Microsoft Teams or Google Calendar at the user level.
• To reserve meeting rooms, create and configure a scheduling user.

Before you begin

Auto-send includes a weekly invite limit, which controls how many self-scheduling invites are sent automatically each week for a given interview.

The limit resets each week based on your First day of the week setting, so make sure it’s configured correctly:

1. Go to Settings > Profile.
2. Check your First day of the week (Sunday or Monday).

3. Update it if needed.

   

Enable Auto-send self-scheduling invites

1. In Recruit, go to the relevant position and jump to the Workflow tab.
2. In any interview step:

   1. Choose the invite email you’d like to send to candidates.

      

   2. Turn on Auto-send self-scheduling invite and set the weekly invitation limit.

      

3. Once auto-send is enabled for an interview step, you no longer need to open each candidate workflow and send invites one by one:
   • A self-scheduling invite is sent automatically when the candidate reaches that step.
   • If there’s no availability, Recruit checks weekly and sends invitations as soon as an opening becomes available.
   • When the weekly limit is reached, invites are paused until the next week.
     • The weekly reset is based on your First day of the week setting

     • You can update the weekly limit at any time
