Automated follow-up messages help you follow up on unanswered self-scheduling invites without tracking candidate activity manually.

When sending a supported email, you can schedule a follow-up to be sent if the candidate does not respond or schedule the interview.

Automated follow-up messages can help your team:

  • Reduce time spent tracking unanswered emails
  • Improve candidate engagement
  • Reduce the risk of missed follow-ups

Prerequisites & limitations

Automated follow-up messages:

  • Are available for the Interview: Self-scheduling invite email
  • Are not available for self-scheduling invites sent automatically using auto-send
  • Are not available when composing an email from a candidate or lead profile
  • Are not available for bulk emails

Schedule a follow-up message

  1. When setting up the Interview: Self-scheduling invite email, turn on Follow-up email.
  2. Write the follow-up message or select an existing template.

    💡 Tip: If Spark Hire AI suggestions are enabled, suggested text is generated automatically. Review and edit the suggestion as needed.

  3. Choose how many days Recruit should wait for a response before sending the email.
  4. Click Send.

Recruit will send the self-scheduling invite and schedule the follow-up. The follow-up is not sent immediately.

View a scheduled follow-up

After you send the self-scheduling invite, the scheduled follow-up appears in the candidate activity timeline.

You can see:

  • When the follow-up is scheduled to send
  • The follow-up message
  • The email associated with the follow-up

Cancel a scheduled follow-up

To cancel a follow-up before it is sent:

  1. Open the candidate activity timeline.
  2. Find the scheduled follow-up.
  3. Click the three-dot menu and select Don’t send.

When a follow-up message is not sent

Recruit automatically cancels a scheduled follow-up when it is no longer needed.

A follow-up is not sent if:

  • The candidate replies before the scheduled send date
  • The candidate schedules the interview before the scheduled send date
  • The interview is canceled before the scheduled send date

When a follow-up is canceled, the candidate activity timeline shows that the message was not sent and why.
