Integrate Recruit with HiBob Workforce Planning

Use the HiBob Workforce Planning integration to automatically create approved positions and openings in Recruit.

This integration is designed for companies that manage headcount planning in HiBob before hiring begins in Recruit, and it’s especially useful for teams that want to reduce manual setup and speed up hand-off to recruiters.

When the integration is active, Recruit can:

  • Create positions when they are approved in HiBob Workforce Planning
  • Create openings for approved positions
  • Update or remove openings when they change in HiBob

Integration setup

Step 1: Open the integration in Recruit

  1. In Recruit, from the left-side menu, select Apps.
  2. Search for HiBob in the list, select the tile, and then Continue to setup.
  3. Click Copy endpoint URL. You will register this webhook in HiBob.

Step 2: Register the webhook in HiBob

  1. In HiBob, go to System Settings > Integration settings > Webhooks.
  2. Click ➕ Add Webhook at the top left.
  3. Enter a name for the webhook and paste the webhook endpoint URL you copied from Recruit in the Endpoint URL* field.

  4. Then, select the events you want to sync with Recruit:
    • Position created
    • Position updated
    • Position opening created

  5. Click Apply and then Add. You’ll now see the new webhook in the list.

Step 3: Copy the required values from HiBob

  1. Click on the webhook to see the details page.

  2. Copy the secret, go back to Recruit, and paste it into the Webhook secret field.

  3. Back in HiBob, go to System settings > Integration tools > Service users from the left-side menu, and click ➕ Create service user.

  4. Enter a name and a description and click Create.
  5. Once you create the service user, you’ll see its credentials. Copy the ID and the Token, and paste them into Recruit’s Service user ID and Service user token fields, respectively. ****
  6. Activate the integration in Recruit.

Step 5: Assign the correct permissions to the service user

⚠️ Important: The integration will not work if the service user does not have the right permissions.

  1. In HiBob, open System settings > Account > Permission groups from the left-side menu.
  2. Click on the relevant permission group.

  3. On the next page, click Group actions > Edit details.

  4. Add the newly create service user to Members dropdown, click Apply and confirm your changes.

Working with HiBob Workforce Planning

Dataflow

  • One-way sync: This integration only sends data from HiBob to Recruit.
  • Changes in Recruit do not update HiBob.
  • Recruit only syncs approved items from HiBob Workforce Planning.

Positions

When a position is approved in HiBob, Recruit creates a matching position. After the position is created, subsequent updates to the position in HiBob do not sync to Recruit. This prevents the integration from overwriting changes that recruiters make during the hiring process.

Openings

When an approved opening is created in HiBob, Recruit creates a matching opening for the relevant position. Unlike positions, openings in Recruit are updated when changes are made to them in HiBob – opening updates and cancellations in HiBob sync to Recruit in near real time.
