Manage your job openings by understanding the different status options available: actively receiving applications, temporarily on hold, or closing the hiring process.
Position status options
Open
When you create a new position in Recruit, it is automatically set to Open as the default status. In the open position status, candidates can apply for the role, and you can add them to the position for evaluation and consideration.
On hold
If your company decides to place a position On Hold, all candidates within that specific position will also be placed in an "On Hold" status. Moreover, no new candidates will be able to apply or be added to this position until it is reopened.
Closed
When you change a position's status to Closed:
The position email address is deactivated and Recruit will not accept new resumes via email.
All candidates associated with the position will be automatically marked as Rejected, and a notification prompt will appear, allowing you to inform candidates and sources about the closure using the "Rejected when a position is closed" email template.
If a candidate has an In Progress status for another position, they will receive the "Rejected - Multiple Positions" email instead. This informs them that while this position is closed, they are still under consideration for other roles within your company.
Candidates who only completed the resume screening stage and not the interview stage will receive the Rejected when position is closed email template.
As for candidates who completed the various interview stages, they will receive the email template according to the stage they completed:
Phone Interview: They will receive a template specific to the phone interview stage.
Video Interview: They will receive a template specific to the video interview stage.
In-Person Interview: They will receive a template specific to the in-person interview stage.
The rationale behind this approach is that when candidates reach advanced stages, their rejection is not due to the closure of the job but rather because another candidate was chosen for the position.
Change the position status
You can change the status of a position at any time. To do this:
Go to the relevant position.
Click on the current status and change it to the desired status from the list.
Delete a position
A position can be deleted at any time by clicking the three dots (…) next to the position status, and selecting Delete position from the options.
⚠️ Deleting a position cannot be undone.
FAQ
Can I reopen a closed/on-hold position?
You can reopen a position at any time. The status of the candidates who were in progress before the position was closed/put on hold will be set back to In progress when you reopen the position.
