As with any plan, hiring plans can change unexpectedly. It's crucial to manage these changes within your Recruit account to ensure accurate tracking of your recruiting KPIs in your reports.

📝 Note: This article provides an overview of handling hiring plan changes. For detailed instructions, refer to our articles on how to Change position status and Manage position openings.

Set a position on hold

Changing the status of a position from Open to On-hold will trigger the following changes:

  • Candidates’ status will be set from In progress to On-hold.

  • The position will no longer be published on career websites and job boards.

  • All the “Open” openings for the position will be closed. This will ensure that your reports will correctly show that the Hiring team worked on these openings, even though hires have not been made for them.

Reopen a position

When the time comes to reopen a position, change the status of the position from On-hold to Open. This will trigger the following changes:

  • Candidates’ status will be set back from On-hold to In progress.

  • The position will be republished on career websites and job boards.

  • A new opening will be created for the position. If you are looking to hire more than one person create additional openings as needed to reflect the number of hires that you are looking to make. Keep in mind that if your company settings require an approval process for new openings, the opening will need to be approved first.

How will status changes be reflected in the reports?

  • Time-to-hire KPI: This KPI measures the number of days from the Open date (when a position is reopened) until the Hire date. It accurately captures the duration from new hire approval to actual hiring. Given that some candidates may lose interest while the position is on hold, the Hiring team may need to search for new candidates. This metric reflects the time taken to find additional candidates and complete the hiring process.

  • Apply-to-hire KPI: This KPI measures the number of days between the candidate's Application date and the Hire date. This metric is not affected by changes in the position status. If the hired candidate applied before the position was put on hold, and you prefer to track the apply-to-hire period from the position's reopening date, you can adjust the effective application date for reports either during the hiring process or from the position's Openings tab.

  • Positions overview and Hiring plan reports: The metrics and charts in these reports reflect the volume of openings the Hiring team has managed over time. These reports encompass closed openings (those without a hire) and newly created openings when a position is reopened. Please note that the Hiring Plan report is available in the Ultimate and Enterprise plans.
