Manage position workflows

Position workflows are sequences of steps that guide the hiring process on the position level, coordinating tasks and timelines, and organizing the hiring team activities. Position workflows are built using Step templates.

💡 Tip: Position workflows can be changed at any time.

To create a new workflow, follow these steps:

  1. Create a new position or navigate to the position you want to edit and click the Workflow tab.

  2. Select a step template from the dropdown.

    • Depending on your company’s step template settings, you might be able to create a custom step. In this case, you’ll have to give it a name.

  3. Choose a step type.

    • Go/No-go: A Yes or No decision on whether to advance or reject a candidate.

    • Interview: For scheduling and conducting interviews. For Interview steps, choose:

    • Administrative: For internal administrative steps.

    • Offer: For generating, approving internally, and sending offer letters to candidates.

  4. Add interview questions.

    💡 Tip: You can leverage the AI assistant to automatically generate interview questions based on the position's title.

  5. Add instructions to teammates and the candidate.

  6. Add or change participants. Users can complete an interview step after at least one evaluation is submitted.

    ⚠️ If you can't find the teammate you're looking for in the dropdown list, verify that it is not an inactive teammate. Learn more about reactivating teammates.

 

📝 Note: Candidates inherit the position workflow. Changes in a position workflow affect the candidates in the process unless they already completed the step or their workflow has been customized.

Add and remove steps

  • To add a step, click the ➕ Plus sign on the right-hand side of the workflow or hover your cursor between two existing steps to reveal the ➕ Plus sign.

  • To remove a step, hover your cursor over the step you want to remove and click the X in the top right-hand corner.

Group and ungroup steps

Grouping steps as parallel allows them to take place simultaneously.

  • To Group steps so two steps happen concurrently, hover between two steps and click the ▶️⏸️◀️ icon.

  • To ungroup or separate any steps, hover between two steps and click the arrow to Ungroup parallel steps.
