The Past Candidates Funnel helps you better understand the flow of candidates through the recruiting funnel with an emphasis on conversion and drop-off rates. Since this is a funnel report, only candidates who are no longer under consideration are taken into account. The period filter is based on the candidate application date.

What you can do with this report

  • Identify stages with exceptionally high pass-through rates to investigate whether the steps assigned to this stage effectively filter out candidates who are not as suitable for the position

  • Single out stages with exceptionally high drop-off rates to investigate whether the steps assigned to this stage filter out candidates that might be qualified but are still rejected

  • Analyze the percentage of candidates that reach the more advanced recruiting stages to understand the volume and percentage of unqualified candidates who apply to the position

  • Discover the ratio of candidates who reach the more advanced recruiting stages per hire to learn if the team’s investment in interviews is greater than expected and therefore should be optimized

  • Review the pass-through as well as drop-off rates of concluded hiring processes to understand the effort invested by the hiring team and, by extension, have an idea of what would require future hiring processes

πŸ’‘ Tip: To get the most value from this report, try filtering by:

  • A specific position, or multiple positions that follow a similar workflow

  • A period that’s longer than your average time to hire (like a full quarter) to capture complete hiring cycles

The report is divided into these sections:

  • Past candidate funnel – Funnel display of the recruiting process by stages of candidates who are no longer under consideration, based on the candidate's added date

  • Funnel summary by stages – Slice and analyze aggregated data relating to past candidate activity by stage and selected criteria based on the candidate's added date

Past candidates funnel

The Past candidate funnel chart enables you to identify and highlight outstanding conversion and drop-off rates in your hiring process.

Each bar represents a key stage in the hiring process:

  • Applied/Added – Applications received

  • Application screening – Filtering applications

  • Screening interviews – Initial phone or video screening

  • Assessment – Tests, simulations, and interviews set to assess the candidate’s skill set

  • Advanced interviews – Interviews conducted by teammates and managers

  • Reference – Reference checks

  • Offer – Prepared, approved, and extended offers

  • Hired – Hired candidates

πŸ’‘Tip: For the report to reflect your process accurately, make sure each step is mapped to the right stage. You can review and update this in Settings > Step Templates if needed.

Each bar displays two values:

  • The total number of candidates who reached the stage (in the middle of the bar)

  • The pass-through percentage of the stage (on the right-hand side of the bar)

In addition, by hovering over any of the bars, you will see an informative tool-tip, displaying the following values:

  • Started the hiring process and reached this stage – Ratio of candidates who began the hiring process and reached that stage

  • Reached this stage and hired – Ratio of candidates who reached that stage and were hired

  • Reached this or more advanced stages – Total number of candidates who reached that stage

  • Passed this stage – Percentage of candidates who successfully passed that stage

  • Drop off – Percentage of candidates who were rejected or withdrew at that stage

Drilldowns

Clicking on any of the bars will open a drilldown report with detailed information regarding the activity completed in the selected stage. The drilldown report is divided into three sections.

  1. KPIs

    • Candidates who reached this or more advanced stages

    • Candidates who have completed at least one step in the stage

    • Candidates who skipped this stage

    • Completed Steps

  2. Summary

    • If a stage bar is selected, the drilldown report will feature the Completed steps summary table with aggregated data of completed activity per selected stage:

      • Completed – Total number of candidates who finished each stage & step

      • Passed – Total number of candidates who passed each stage & step

      • Pass-through rate – Percentage of candidates who passed each stage & step

      • Rejected – Total number of candidates rejected at each stage & step

      • Withdrawn – Total number of candidates withdrawn at each stage & step

      • Average time-to-complete (days) – Average number of days it took to complete a step at each stage & step

    • If the hired bar is selected, the drilldown report will feature the Hires summary table with aggregated data of hired candidates:

      • Hires* (by application date)

      • Average time to hire (days)

      • Average apply to hire (days)

  3. Completed steps – The details table features the default and custom position fields along with additional data related to completed steps, hired candidates, and applications.
